Website information

Privacy Policy

This policy explains how BiomeLens handles information submitted through this website and related project communications.

Information we collect

The Contact and Project Enquiry forms collect your name, email address, optional institution or organisation, subject and message. Depending on the form, they also collect enquiry categories, project type, the selected service, approximate project size, data status and requested outputs. The Project Enquiry form also accepts optional PDF, PNG or JPEG attachments, including their filenames and contents. We retain related correspondence and attachments when responding to an enquiry or working on a project.

Forms include a random enquiry reference, a start time and an automated-spam detection field. The server briefly processes an IP address, when supplied by the hosting platform, to limit repeated submissions. Hosting and email providers may also process technical connection, delivery and security records needed to operate their services.

Please provide only information relevant to your enquiry. The public forms are not intended for uploading research datasets or submitting sensitive personal or patient information.

How information is used

We use submitted information to understand your request, assess project suitability, prepare a scope or quotation, respond to you and administer an agreed engagement. Technical information supports delivery, reliability and abuse prevention.

We do not use the enquiry form to enrol you automatically in a marketing list. We do not sell submitted personal information.

Storage and service providers

Website hosting and server-side processing use the current Sites/Cloudflare hosting environment. Enquiries are delivered through Resend to the BiomeLens business mailbox, which uses Hostinger email services. These providers process information necessary for their respective services; a research dataset uses separately agreed project arrangements.

Information may be processed in the countries where these providers operate, which can be outside your country.

Access and disclosure are limited to handling your enquiry or project, necessary service operation, your instructions or applicable legal requirements. Any project collaborator access should be established in the project arrangements.

Browser storage and external links

The forms use session storage in your browser to preserve an unfinished enquiry and selected attachment names during the current tab session. File contents are not saved in browser storage; files must be reselected after leaving or reloading the page. The draft is cleared after a successful submission. A shared device may expose a draft to someone using the same open browser session; close the tab when finished.

The current BiomeLens application does not add advertising trackers or analytics scripts. Hosting infrastructure may process essential technical information. External sites, including LinkedIn, ResearchGate and Google Scholar, have their own privacy practices when you follow their links.

Retention and your enquiries

We keep enquiry and communication records for the time needed to respond, manage the relationship and meet applicable administrative or legal obligations. The retention period depends on the purpose and project.

Email contact@biomelens.com to ask about your information or request access, correction or deletion. We may need to verify the request and explain any records that must remain or provider-related limitations. Project-data retention is agreed separately before transfer.
